How to Claim Gift Aid as a Charity: Step-by-Step (2026)

Step-by-step guide to claiming Gift Aid from HMRC as a UK charity. Registration, record-keeping, online claims, and maximising your Gift Aid income.

How to Claim Gift Aid as a Charity: Step-by-Step (2026)

Gift Aid is worth 25p for every £1 donated — free money from HMRC. But many charities leave thousands on the table because they don't claim properly. Here's how to get it right.

Step 1: Register with HMRC

Before you can claim Gift Aid, you must register with HMRC for charities tax relief:

  1. Go to gov.uk/charity-recognition-hmrc
  2. Complete the online form (you'll need your charity registration number)
  3. Wait for confirmation (usually 2-4 weeks)
  4. You'll receive a charities reference number for HMRC

Step 2: Collect Gift Aid Declarations

You need a valid Gift Aid declaration from each donor before you can claim. The declaration must include:

Step 3: Keep Records

For every Gift Aid claim, HMRC requires you to keep:

Records must be kept for at least 6 years after the tax year of the claim.

Step 4: Make Your Claim

Claims are submitted to HMRC via Charities Online:

  1. Log in to your HMRC Charities Online account
  2. Submit a claim using either:
    • Online form (for small numbers of donations)
    • Spreadsheet upload (for bulk claims — HMRC provides a template)
  3. HMRC processes the claim and pays directly into your bank account

For detailed form guidance, see our HMRC Gift Aid claim forms guide.

Step 5: Claim Regularly

Don't wait until year-end. Claim quarterly or even monthly — you get the money faster, and it's easier to manage in smaller batches.

Don't Forget GASDS

The Gift Aid Small Donations Scheme lets you claim on small cash donations (up to £30 each) without needing individual declarations. Essential for bucket collections and plate/box donations.

Common Gift Aid Mistakes

  1. Not claiming at all — the biggest waste. If you're registered, claim everything you're entitled to.
  2. Claiming without valid declarations — HMRC can claw back claims without proper documentation
  3. Not claiming on old donations — you can claim up to 4 years retrospectively if you have declarations
  4. Forgetting to claim GASDS — extra £2,000/year for eligible charities
  5. Not updating cancelled declarations — if a donor cancels, stop including their donations

How Much Can You Claim?

Example: A mosque with 200 regular donors

  • Average monthly donation: £25
  • 150 donors have signed Gift Aid declarations
  • Annual Gift Aid eligible donations: 150 × £25 × 12 = £45,000
  • Gift Aid claim: £45,000 × 25% = £11,250 per year from HMRC

Plus GASDS on cash donations: up to £2,000 extra

Total: £13,250/year — free money that many charities leave unclaimed.
